Information We Collect

Information You Provide Directly:

• Account Information: Name, email address, phone number, mailing address, membership numbers and compliance status.
• Organization Information: Business name, billing details, and authorized representatives
• Competition & Event Data: Entry information, horse details, trainer affiliations, class registrations
• Payment Information: Credit/debit card details and billing addresses, processed securely via third-party payment processors
• Communications: Messages, support requests, and notification preferences (SMS, email, push)

Information Collected Automatically:

• Usage Data: Pages visited, features used, time spent on platform

Sensitive Financial Information:

ShowSync stores 1099 tax information on behalf of Show Organizations for individual payees (such as prize money recipients and vendors). ShowSync does not collect tax data from Organizations themselves. This information is stored with enhanced security controls and access restrictions, and is used solely for IRS 1099 reporting purposes as directed by the Organization.

How We Use Your Information

We use collected information to:

• Provide, operate, and maintain our platform and services
• Process competition registrations, technology fees, and payments
• Send event updates, schedules, results, and service notifications
• Facilitate communication between organizations, exhibitors, and trainers
• Process and remit payments to organizations and vendors
• Comply with tax reporting and legal obligations (including IRS 1099 reporting requirements on behalf of Organizations)

Information Sharing and Disclosure

• Show Organizations: Exhibitor and entry data for competitions you are registered in
• Trainers and Barns: When you have authorized such connections within your account
• Payment Processors: Stripe and other PCI-DSS compliant processors to handle transactions
• Tax Authorities: 1099 and payment information as required by IRS regulations, on behalf of the Organization
• Service Providers: Technology vendors who help us operate our platform, under confidentiality agreements
• Legal Requirements: When required by law, court order, or to protect the rights and safety of ShowSync and its users

We will never sell your personal information or share it for unrelated third-party marketing purposes.

Minors and Guardian Consent

ShowSync requires users under the age of 18 to have parental or guardian consent prior to registration. When a minor is registered:

• Guardians may review, update, or request deletion of the minor's information
• Guardian verification records are retained for the duration of the minor's account plus three (3) years, or as required by law

ShowSync complies with the Children's Online Privacy Protection Act (COPPA) with respect to users under the age of 13.
